Request for Proposal (RFP): Design, Supply, and Installation of 6kW Rooftop Solar System for Borehole Pump Operation

We are located in Elgon View, Eldoret Town, Rift Valley region of Kenya, we are seeking proposals from experienced and qualified vendors for the design, supply, and installation of a 6kW rack mounted solar system to power our borehole pump and ancillary services.
And for the design, supply, and installation of a 30kWh battery system incorporated and synchronised with the 6kW solar system.
The successful vendor will be responsible for providing a turnkey solution that includes all necessary equipment, installation services and ongoing maintenance for efficient and sustainable operation.
The selected vendor will be required to design a solar system and battery tailored to the specific requirements of the borehole pump, supply all necessary components, and install the solar system on the designated rack and support frame and the battery in an approved storage room.

Scope
The scope of work for this project includes, but is not limited to, the following:
– Designing a 6kW rack mounted solar system capable of powering the borehole pump efficiently (2.2 kW motor single phase) and ancillary services.
– Supplying all required solar panels, inverters, mounting structures, cables, and associated components of high quality and durability.
– Installing the solar system in accordance with industry standards and local regulations.
– Integrating the solar system with the existing borehole infrastructure, including the pump and control mechanisms.
– Designing a 30kWh battery system capable of powering the property when solar power is not available.
– Supplying all required batteries, inverters, mounting structures, cables, and associated components of high quality and durability.
– Installing the battery system in accordance with industry standards and local regulations.
– Integrating the battery system with the proposed solar system infrastructure, including the pump and control mechanisms.
– Providing additional offtakes for lighting and power outlets in designated areas.
– Conducting testing and commissioning to ensure the proper functioning of the solar-powered borehole pump system, battery system and ancillary services.
– Providing training to relevant personnel on the operation and maintenance of the solar system and the battery system.
– Offering ongoing maintenance and support services to ensure the long-term performance and reliability of the system.

Proposal Submission Requirements
Interested vendors are requested to submit their proposals in accordance with the following guidelines:
– Outline of the proposed design, including equipment specifications, layout plans, and projected energy output including Brands and Model Nos offered for
— Solar panels (PVs) – Manufacturer and Model.
— Inverter – Manufacturer and Model.
— Controllers – Manufacturer and Model.
— Battery or batteries – type and Manufacturer and Model.
– Commercial proposal providing itemised pricing for equipment supply, installation, and any additional services.
– Proposed timeline for project implementation, including key milestones and deliverables.
– Documentation demonstrating compliance with all relevant licenses, certifications, and regulatory requirements.

Kindly note that we plan on placing the solar panels on an elevated rack and support structure in our front yard and may or may not require a roof mounted structure. Please provide itemised costs separately for each part of the proposal:
– Solar system
– Battery system
– Ancillary services: additional offtakes for lighting and power outlets in designated areas.

Depending on the size of the proposed battery, it may be installed in an existing building or in a dedicated building or structure for that purpose.

Evaluation Criteria
Proposals will be evaluated based on:
– Technical expertise and experience in designing and installing solar-powered water pumping systems, battery systems and ancillary services.
– Suitability and efficiency of the proposed solar system and battery system design.
– Cost-effectiveness and competitiveness of the commercial proposal.
